  POLICIES: ALUMNI COLLECTION POLICY

  • Immanuel Lutheran College Alumni Association may collect personal information about you from time to time. The primary purpose of collecting this information is to enable us to inform you about our activities and the activities of Immanuel Lutheran College and to keep alumni members informed about other members.
  • We must have information referred to above to enable us to continue your membership of the Alumni Association.
  • As you know, from time to time we engage in fundraising activities. The information received from you may be used to make an appeal to you. It may also be used by the Immanuel Lutheran College to assist in its fundraising activities. If you do not agree to this, please advise now.
  • The Alumni Association may publish details about you in our publications, or on our College website. If you do not agree to this you must advise us now.
  • You may seek access to personal information collected about you by contacting us, care of the College.
  • If you provide personal information to us about other people, we encourage you to inform them of the above matters.

Employment Collection Notice 

When receiving employment applications an ‘employment collection notice’ should be sent to the individual with the acknowledgment. This notice could be worded as follows:

  • In applying for this position you will be providing Immanuel Lutheran College with personal information.

  • If you provide us with personal information, for example your name and address or information contained on your resume, we will collect the information in order to assess your application.
  • You agree that we may store this information for three (3) months.
  • You may seek access to your personal information that we hold about you if you are unsuccessful for the position. However, there will be occasions when access is denied. Such occasions would include where access would have an unreasonable impact on the privacy of others.
  • We will not disclose this information to a third party without your consent.
  • We are required to conduct a criminal record check, collect information regarding whether you are or have been the subject of an Apprehended Violence Order and certain criminal offences under Child Protection law.
  • If you provide us with the personal information of others, we encourage you to inform them that you are disclosing that information to the College and why, that they can access that information if they wish, that the College does not usually disclose the information to third parties and that we may store their information for three (3) months.

The employee records exemption (see paragraph 17 of the Privacy Compliance Manual for Non- Government Schools) does not apply to job applicants. Therefore, under National Privacy Principle (NPP) 6 (see Section 12) job applicants may seek access to records of personal information which the College holds about them. The College should be mindful of this when collecting personal information (eg references, making notes and reports). The College might consider destroying some or all records once the position is filled. The same applies to contractors.


When collecting sensitive information, NPP 10 requires that consent be obtained, unless an exception applies (such as where collection is required by law – NPP 10.1 (b)). Regardless of whether consent for collection is required, NPP 1 must still be complied with. This issue is discussed in paragraph 7.26.5 of the abovementioned Manual.


If unsolicited job applications are received and the College wishes to retain the applicant’s information, the ‘employment collection notice’ should be sent. However, if you intend to pass on information to a related College, you should make the applicant aware of this in the ‘employment collection notice’.

Contractor/Volunteer Collection Notice

All new contractors and volunteers should be sent a modified version of the ‘employment collection notice’. Such an amended notice could be worded as follows:

  • In applying to provide your services you will be providing Immanuel Lutheran College with personal information. We can be contacted as follows:

  • If you provide us with personal information, for example your name and address or information contained on your resume, we will collect the information in order to assess your application. We may also make notes and prepare a confidential report in respect of your application.
  • You agree that we may store this information for three (3) months.
  • Access to this information may be available to you if you ask the College for it.
  • We will not disclose this information to a third party without your consent. We usually disclose this kind of information to the following types of organisations (insert list).
  • We are required to conduct a criminal record check, collect information regarding whether you are or have been the subject of an Apprehended Violence Order and certain criminal offences under Child Protection law.
  • If you provide us with the personal information of others, we encourage you to inform them that you are disclosing that information to the College and why, that they can access that information if they wish and that the College does not usually disclose the information tothird parties.
